• Oversee general ledger management, journal entries, reconciliations, and month-end/year-end closing.
• Prepare monthly, quarterly, and annual financial statements.
• Manage accounts payable and accounts receivable processes.
• Conduct bank, cash, and ledger reconciliations regularly.
• Monitor company cash flow and liquidity planning.
• Ensure compliance with tax laws and financial regulations.
• Coordinate external audits and provide required documentation.

B. QuickBox Financial System Management

• Ensure accurate and timely financial data entry into QuickBox.
• Maintain and update the chart of accounts.
• Generate financial, payroll, and management reports.
• Ensure system integrity, data accuracy, and internal controls.
• Train relevant staff on financial documentation standards.

C. Payroll Management

• Manage monthly payroll processing through QuickBox.
• Ensure accurate calculation of salaries, benefits, deductions, and statutory contributions.
• Ensure timely payment of taxes and social security obligations.
• Maintain confidential payroll records.
• Reconcile payroll accounts monthly.

D. Invoicing & Payment Tracking

• Prepare and issue client invoices in accordance with contracts and deliverables.
• Track receivables and follow up on outstanding payments.
• Maintain an updated payment tracking system.
• Coordinate with project managers to verify deliverables prior to invoicing.
• Ensure proper documentation for revenue recognition.

E. Budgeting & Financial Planning

• Develop and maintain the company’s master budget.
• Track budget performance and conduct variance analysis.
• Update and monitor financial targets and revenue projections.
• Prepare financial performance reports for management.
• Provide financial forecasts and scenario analyses.

F. Commercial & Proposal Support

• Lead budget development for commercial proposals in response to ToRs and tenders.
• Prepare detailed financial and cost proposals aligned with technical submissions.
• Conduct cost analysis, pricing strategy development, and margin calculations.
• Ensure financial compliance with tender requirements.
• Maintain a cost database for operational and project expenses.
• Support contract negotiations from a financial perspective.

G. Financial Control of Field Operations

• Develop and implement financial controls for field expenses.
• Review and approve field expense reports and supporting documentation.
• Ensure compliance with approved project budgets.
• Monitor advances, settlements, and reconciliations.
• Ensure proper documentation and audit trail for field transactions.

H. Internal Controls & Compliance

• Develop and maintain strong internal financial control systems.
• Ensure segregation of duties and approval workflows.
• Establish financial policies and procedures.
• Identify financial risks and implement mitigation measures.
• Ensure compliance with company policies and legal requirements.
