Job description
Job Purpose
The Data Entry Clerk will be responsible for
accurately entering, updating, and maintaining
program and operational data in the organization’s
databases and information management systems.
This role ensures that data collected from the field is
captured in a timely manner, verified for accuracy,
and readily available for analysis and reporting. The
Data Entry Clerk will work closely with MEAL and
program teams to uphold data quality standards,
support evidence-based decision-making, and
maintain the confidentiality and security of all
program data.
Data Handling and Entry (70%)
• Accurately enter program, beneficiary, and
operational data into designated databases
and information management systems.
• Ensure timely entry of data collected from
field teams in accordance with agreed
schedules.
• Verify the accuracy and completeness of data
before entry, flagging discrepancies for
review.
• Maintain an organized filing system for all
source documents, both digital and paperbased.
• Support the cleaning and validation of
datasets in line with data quality SOPs.
• Assist in updating monitoring tools and
templates when necessary.
• Ensure data backups are conducted regularly
and stored securely.
Reporting and Coordination (15%)
• Support the preparation of basic data
summaries, tables, and reports as requested
by supervisors.
• Liaise with field teams to resolve any data
entry issues or gaps.
• Coordinate closely with the MEAL and
program teams to ensure smooth data flow
and information sharing.
Capacity Support (5%)
• Provide basic orientation to field staff on
standard data submission formats and
timelines.
• Support colleagues in understanding data
entry protocols and systems.
Communication (5%)
• Share information promptly on any issues
affecting data quality or timeliness.
• Maintain clear communication with
supervisors on workload, challenges, and
support needs.
Other Duties (5%)
• Perform other related tasks as assigned by
the supervisor to support the efficiency of
program data management.
A. Essential:
Secondary school diploma (minimum); a
university degree in a related field is an
advantage.
• At least 1 year of experience in data entry,
administrative work, or a similar role.
• Previous experience working in NGO settings
is preferred.
B. Desirable:
• Experience with mobile/digital data collection
tools.
• Knowledge of the Syrian context is an
advantage.
