The MENTOR Initiative is a discrete and agile humanitarian organization purpose built to relieve human suffering from tropical diseases. We act in some of the world’s most austere and vulnerable communities, who are often devastated and forgotten.  Regardless of race, creed or nationality, MENTOR strives to deliver disease control to populations at greatest risk of suffering and death. The Liaison Assistant represents the organization at the field level. The primary purpose of this role is to support MENTOR Initiative’s operations through timely and appropriate liaison at the district and provincial levels. The secondary purpose is to promote the partnership approach of MENTOR Initiative and build upon working relationships with authorities in MENTOR’s areas of operation

Primary responsibilities:

 

  •  Communicates and coordinates on behalf of The MENTOR Initiative with the local administration with regards to working permission and NGO registration.
  • Provides MENTOR with updated information on any new processes or procedures outlined by the local authorities. 
  • Submits any updated working plan and advocates for all activities and program needs.
  • Executes the processes for import & export approval as well as tax exemption for program commodities from application to completion.
  • Ensures a constant update about the ongoing import & export approval processes is provided to Assistant Logistics Coordinator.
  • Ensures any changes in procedures related to import & export and/or tax exemption are communicated to Regional Operations & Logistics Manager and Assistant Logistics Coordinator.
  • Assist in assessments as well as data and/or information collection needed for program planning and implementation.

 



 

  • Performs assigned tasks for logistics teams in terms of preparation of paper work and documentation.
  • Provide support in following up on purchase requests, ensuring documentation completeness, and maintaining proper archiving of logistics documents (contracts, quotations, invoices).
  • Assist in coordinating deliveries and shipments, liaising with suppliers, and supporting the receipt and dispatch of goods between warehouses and field locations.
  • Contribute to asset record updates, inventory counts, and reporting, while facilitating communication between the logistics team and other departments and providing ad-hoc support as needed.
  • Liaises with Assistant Logistics Coordinator to coordinate shipments arriving in border gates and provides support in customs clearance as needed.
  • Ensures the documents related to import & export approval and tax exemption are submitted to the relevant authorities in full, followed up accordingly throughout the process and once the approval is granted approval letters are received physically and kept secured until they are needed for customs clearance.

As the MENTOR Initiative is working in a constantly changing humanitarian aid environment, reasonable specific work duties may occasionally be requested that may not fit into the above job description, but which will help promote over all programs goals and aims. Includes the possibility of transfer to another similar post across MENTOR country programs within the period of this contract agreement.
