Office Staff, and sub offices staff

Purpose of Assignment:

The IT Officer is responsible for providing administrative support to ensure efficient operation of the office. And providing support regarding installing soft ad hardware and monitoring data and networks, troubleshooting system and solving network relevant issues.



 

Administrative and IT Support

  • Follow up on administrative and IT services related to SAMS operations in Syria, as requested by the HR & Admin Manager.
  • Oversee IT maintenance, including laptops, printers, Wi-Fi, servers, and network infrastructure.
  • Provide technical support to staff for both software and hardware issues and deliver necessary training.
  • Install and configure computer hardware, operating systems, and applications.
  • Ensure implementation of administrative and IT policies and submit periodic reports to the HR & Admin Manager.
  • Monitor and maintain computer systems and networks, reporting faults and necessary updates.
  • Diagnose and resolve hardware and software issues, including replacing IT components as required.
  • Provide IT and administrative support, including procedural documentation and reports.
  • Follow diagrams and instructions for setting up or repairing HRIS and HIS systems.
  • Test and evaluate new technology in coordination with the HR & Admin Manager.
  • Perform database backups (daily, weekly, monthly) for HRIS, HIS servers, and SAMS Box.
  • Conduct electrical safety checks on IT and office equipment.

Inventory and Procurement Management

  • Follow up on the office warehouse, inventory tracking, and movement of materials under the HR & Admin Manager’s supervision.
  • Maintain a detailed record of office IT/admin resources, including purchases and documentation of consumption.
  • Conduct anti-terrorism checks related to the admin department.
  • Distribute IT equipment and maintain consumption records, ensuring accountability.
  • Conduct market studies for administrative purchasing and IT equipment needs.
  • Follow up with government departments, legal accountants, and other relevant authorities regarding administrative tasks.

Operations and Logistics

  • Organize and schedule meetings and ensure meeting rooms are technically ready (voice, video, internet, projectors, etc.).
  • Participate in the development of policies and procedures and propose improvements for operational efficiency.
  • Support the Technical and CBA Committees in administrative and IT-related matters.
  • Order IT office supplies in coordination with the HR & Admin Manager.
  • Coordinate and provide IT and administrative support for training and workshops.
  • Manage hotel and flight reservations, ensuring cost-effectiveness and efficiency.
  • Ensure that training supplies are available on time, including printing materials, certificates, and related documents in coordination with the Medical Training Officer.
  • Organize restaurant reservations and event logistics as required.
  • Provide periodic administrative reports and meeting minutes.

  • Perform any additional duties as assigned by the HR & Admin Manager in line with operational needs.

Mandatory Qualifications required

-         Bachelor’s degree in information technology IT

-         3 years’ experience in logistics management in NGO Sector

 

Languages

 

•        Fluent written and spoken in Arabic

•        Upper-Intermediate written and spoken in English
