Job Purpose

Purpose of the Position:
We are looking for a motivated candidate to provide the required support to the CEO, board and senior management team, managing office operations.
The executive assistant’s responsibilities include calendar management, meetings arrangement, and travel arrangements. The candidate should have great time management skills and well organized.
The position will report directly to our Programs Quality Director and our CEO and will work closely with the program team.

  • Act as a point of contact among senior managers, team members, and partners.
  • Manage CEO and SMT calendars and setup meetings.
  • Manage travels process and prepare required documents
  • Ensure keeping proper office inventory
  • Take minutes during meetings.
  • Organize the filling system.
  • Assist the CEO and SMT in administrative tasks including, collecting information in precreation for meetings, maintain an updated contact list.
  • Provide required formatting and translation for documents.
  • Collect required information from the team and other identified resources.

  • Commitment to implementing policies by taking them into account when planning and designing activities, as well as when receiving complaints or noticing issues related to this matter, and fulfilling their obligation to report them directly through designated channels or directly to senior management. Raising awareness among designated staff about the child protection policy and the protection from sexual exploitation and abuse, as well as the reporting mechanisms and how to handle them.

Note: the above-mentioned key responsibilities / accountabilities are illustrative ones. Other future responsibilities/accountabilities may be assigned to the job depending on the department’s organizational chart.

Essential:

  • University degree in Business Administration, Political Science, Development studies or similar
  • Experience in program management or coordination
  • Fluent level of Arabic, English .
  • Strong communication skills

Desirable:

  • experience working in Turkish civil society, humanitarian organizations or similar Strong networks within the Syrian civil society
  • Arabic language skills are an asset, but not mandatory
  • Project management skills

  • In-depth knowledge of project cycle management, donor regulations, and compliance requirements.
  • Excellent analytical, writing, and reporting skills in English; Arabic proficiency is a strong asset.
