Since 2012, PIN has been operational in Syria, providing humanitarian and early recovery support to conflict-affected communities in NWS and NES. Under the Whole of Syria (WoS) structure, PIN implements integrated programs across Syria through coordinated field offices. PIN’s programs focus on Emergency Food Assistance, WASH, Education, Civic Participation and Empowerment, and Early Recovery and Livelihoods
GENERAL POSITION DESCRIPTION
The Finance Assistant is responsible for supporting day-to-day financial operations in the Aleppo office, ensuring compliance with PIN's internal procedures and donor requirements. The role requires attention to detail, confidentiality, and close collaboration with finance and program teams.
REPORTING RELATIONS & INTERDEPENDENCIES WITH OTHER FUNCTIONS
The Finance Assistant reports directly to the Senior Finance Officer and indirectly to the Finance Manager. The role requires coordination with project staff and other support functions to ensure effective financial management.
Cash Management and Accounting
· Manage cash operations, including advance disbursements, payment of invoices, and direct bills.
· Monitor office cash balance and prepare weekly cash reconciliations.
· Maintain accurate records of all cash transactions in the physical cashbox.
· Ensure proper paper documentation and administration for all received and disbursed funds.
· Exchange currency and document the process in compliance with internal controls.
Documentation and Compliance
· Check the accuracy and completeness of financial documents and reject incorrect or incomplete submissions.
· Ensure all financial documents are scanned, properly filed, and archived according to PIN procedures.
· Maintain a physical and digital List of Advances, confirmed by the employee's signature for each transaction.
· Track advances and ensure timely clearances or refunds by staff members.
System Entries and Digital Archiving
· Record all financial transactions in the accounting system (Navision).
· Upload supporting documents and transaction data into ELO.
· Maintain and organize payments records and related archiving.
Support to Projects and Office Operations
· Provide financial assistance and guidance to program and project staff as needed.
· Monitor and control operational costs required for the functioning of the office.
Other
· Other tasks assigned by employee’s Line Manager corresponding to actual needs of the mission, programs, and projects.
· Understand and adhere to the mission’s National Staff Handbook, PIN Code of Conduct, PIN Key Policies and relevant guidelines.
· Familiar with the humanitarian and geographical context in Syria.
· Applicants should be Syrian Citizens.

· Excellent IT skills - Microsoft Office applications (Outlook, Word, Excel).

QUALIFICATIONS
· Bachelor degree in economy or relevant field
· More than two years of progressive experience working in a similar role for non-governmental organizations.
· English and Arabic are mandatory.
