The Administrative Assistant will provide comprehensive administrative support to the Aleppo office. The role includes managing office inventory, handling documentation, liaising with suppliers, and assisting with various administrative and procurement activities. The incumbent will play a crucial role in maintaining office efficiency and supporting the team in achieving its objectives.
SCOPE OF ROLE:

KEY AREAS OF ACCOUNTABILITY:
• Manage office supplies and stationery, ensuring timely replenishment.
• Maintain and organize office records, correspondence, and documentation.
• Coordinate office maintenance and liaise with service providers.
• Assist in organizing meetings, workshops, and conferences.
• Facilitate staff travel arrangements, including visa processing, flight bookings, and accommodation.
• Support visitor coordination and office hospitality services.
• Ensure that program purchases within the cash and receipt threshold are made in a timely and transparent manner,
• Assist the Supply Chain Team in the delivery of activities, and the maintenance and management of office equipment as part of the supply chain team.
• Implement effective stock management and administration systems, continuously monitor stock levels, and provide advice on stocking and replenishment to meet project demands.
• Enhance office Supplier’s database through constant identification of potential suppliers and regular evaluation for existing suppliers’ performance.
• Develop and maintain strong and professional relationships with different suppliers.
• Respond and support in Ad-hoc requests received from various SRO staff

University degree / Certificate of education in relevant discipline
EXPERIENCE AND SKILLS
• Minimum of 1 year of experience in an administration/office management filed.
• Significant experience of working in the large office administration.
• Excellent interpersonal skills
• Excellent verbal and written communication skills in English (required) and Arabic
• Computer literate (including working knowledge of Microsoft Office) and ability to do internet based research
• Excellent attention to detail, organisational skills and discretion with confidential information
• Ability to work independently and proactively
• Proven ability to handle challenging work load
