The Grants Manager is critical in managing and overseeing the grants, proposals, and reporting processes for IDA's grants. He/she will be responsible for ensuring efficient grants management, compliance with donor requirements, and the timely delivery of high-quality reports. This position is pivotal in supporting IDA's mission and maintaining strong relationships with funding partners.

This role is responsible for coordinating with partners, managing documentation, and creating new opportunities for collaboration, with a focus on enhancing the organization's impact and presence in Syria. The Grants Manager shall make sure that all activities, plans, objectives and workplans of the department are met.

  • Grants Management:
    • Oversee all aspects of grant management, including proposal development, and compliance with donor guidelines.
    • Coordinate the submission of grant applications for existing partners, including the due diligence process and ensuring they are submitted accurately and on time.
    • Establish and maintain a comprehensive grants management system.
    • Set up the monthly reporting plan with sufficient internal deadlines.
    • Set up the schedule of kick-off, grants review meetings, closure and lead and facilitate the invitations and meetings regularly according to IDA policies and procedures.
    • Regular quarterly updates about the grants’ matrix, and potential gaps.
    • Biweekly reports to the direct supervisor, the Grants Coordinator.
  • Proposal Development:
    • In collaborating with program and operation teams, to lead the preparation of high-quality grant concept notes, proposals, amendments, ensuring alignment with IDA strategy and donor priorities.
    • Support the program and operation teams to develop persuasive narratives and budgets that effectively communicate the organization's mission and goals.
  • Donor Relations and Supporting Partnerships Management:
    • Cultivate and maintain positive relationships with existing donors.
    • Act as the primary point of contact for donors/partner in matters related to grants and reporting.
    • Represent the organization in meetings with donors/partners, as assigned by the Grants Coordinator.
    • Manage the signing, execution and follow-up of agreements.
    • Maintain accurate and up-to-date records of all agreements and related documentation.
  • Reporting and Compliance:
    • Develop and manage a reporting schedule to ensure timely submission of narrative and financial reports to donors.
    • Ensure compliance with donor requirements and guidelines for all reports.
    • Coordinate with program teams to collect data and success stories for reporting purposes.
    • Report daily activities and developments to the Grants Coordinator as requested.
  • Capacity Building:
    • Work closely with the Grants team, having day-to-day follow-up to make sure that the staff are meeting the deadlines with the best quality
    • Setting departmental plans and strategies as per IDA General Strategy, and making sure that the plans are implemented
    • Provide training and capacity-building support to program staff
    • Assist in building the capacity of local staff and partners through training and mentorship.
    • Provide support in enhancing the organization’s operational and strategic partnerships.
    • Support the development and implementation of organizational strategies and objectives in Syria.
  • Risk Management:
    • Identify potential risks related to grant management and take proactive measures to mitigate them.
    • Ensure compliance with relevant legal and financial regulations.

Generic professional competencies for this position:

  • Bachelor’s or master’s degree in a relevant field (e.g., International Development, Public Health, Business Administration).
  • Minimum of [5] years of experience in grants management, proposal development, and donor relations within the NGO sector.
  • Strong understanding of the grant lifecycle, from application to closeout, and donor compliance.
  • Proficiency in financial analysis, budget management, and reporting.
  • Excellent written and verbal communication skills, with the ability to create compelling narratives for grant proposals and reports.
  • Strong interpersonal skills and the ability to collaborate with diverse stakeholders.
  • Experience with health-related projects is a significant advantage.
  • Proficiency in using relevant software and tools for grant management.
  • Fluency in Arabic and English is essential; verbal and written.
  • Good IT skills, including Excel, Word, archiving tools and Microsoft Planner.
  • Familiar with Grants Application software, including GMS, UN platforms, USAID, etc.
