
The Logistics and Procurement Assistant supports the day-to-day implementation of logistics and procurement activities in the Aleppo office. The position ensures compliance with PIN policies and donor regulations while providing timely and effective support to programs and operations. The role covers procurement, logistics, premises, and basic fleet/asset management tasks under the direct supervision of the Senior Logistics and Procurement Officer. Duties and responsibilities: 1. Procurement: • Weekly and monthly money request preparing and collecting. • Responsible for monthly small purchases of office & GH. • Receive procurement requests from various departments and process them according to PIN procurement guidelines and policies. • Collect quotations from the market and suppliers and communicate effectively with vendors. • Prepare evaluation tables and all necessary procurement documentation. • Support field teams with local purchasing procedures. • Contribute to market surveys to identify reliable suppliers and update pricing information. • Prepare weekly payment orders and plan payments accordingly. • Translate supporting documents from the field when required. • Archive all logistics and procurement documentation in an organized manner. • Collaborate with colleagues in logistics, procurement, and program departments to fulfill requests efficiently. 2. Logistics: • Making sure all fees related to running the mission premises are paid on time or prepaid. • Follow-up cleaning, maintenance and repairs of premises and its reporting to SLO. • Proactive searching for new solution for maintenance, repairs, office set up, supplies. • Weekly and monthly money request preparing and collecting. • Responsibility for Logistic related payments in Aleppo and Manbij office. • Be able (comfortable) to prepare, report and communicate all the above also to Logistics Manager when SLO is not presented in the office. • Cleaners Management for Office and GH.
Minimum of 3 years of relevant experience, preferably in with NGOs. • Basic knowledge of procurement processes and logistics support. • Strong communication and negotiation skills. • Proficiency in MS Office (Excel, Word). • Fluency in Arabic; working knowledge of English required.
